How we use your information when you apply for a puppy or to become a guardian

The short version

We’re a small family breeder. Our directors are the only people who read your enquiry — nobody else in the company, and nobody outside it.

We ask for your details so we can talk to you about a puppy and work out whether we can match you with the right dog. We keep that information while we’re in touch, and for a while afterwards — partly because we have to.

We don’t sell your data, we don’t send marketing, and we don’t pass your details to anyone else.

The rest of this notice explains all of that properly.

1. What we ask you for, and why

When you fill in the adoption form

Your name and contact detailsSo we can reply and talk to you about a puppy.
Your addressSo we know where a dog would be living, and how far you are from us.
Anyone else we should contactSo there’s a second person we can reach about the dog.
What you’re applying forA puppy, a guardian puppy, or a breeding puppy — it decides what happens next.
About your householdAdults, children, pets, your daily life. So we can judge whether one of our dogs would suit your home.
Your experience with dogsSame reason.
What you need the dog to be able to doOnly if you tell us. See section 2 — this one is different.
Your preferencesColour, size, sex, timing — so we don’t offer you something you don’t want.
How you heard about usSo we know what’s working — website, social media, a referral, an event. We record where you came from, not who sent you.
Social mediaOnly if you agree — photos and updates we might share. You can change your mind any time.

What we write down afterwards

You should know that we also keep records you don’t see:

  • Our assessment of your application — whether we think a dog would suit your home, our reasons, and anything we discussed. You can ask us for a copy of this (section 7).
  • Our conversations — calls, emails and messages about your application or your dog.
  • If you have one of our dogs — welfare visits, health records, contracts, and payments.

2. If you tell us the dog needs to do something specific

Some people tell us the dog needs to be able to do something particular — support a family member, work as a therapy dog, or be a coat that doesn’t trigger a reaction.

This is the only part of the form we treat differently, because it can imply something about someone’s health. So:

  • We only record it if you agree — there’s a separate tick box.
  • We record what the dog needs to be like, not anyone’s medical details. Please don’t send us those — we don’t need them.
  • You can say no and it makes no difference to your application. We’ll just match you on everything else.
  • You can change your mind later and we’ll delete it.

3. Who else sees your information

Almost nobody. Specifically:

Our directorsThe only people who read enquiries. We’re a small company — there is no wider team.
Our websiteOur website is hosted by Clook Internet, a UK company with UK data centres. The form itself is built with Elementor. Your answers pass through the website and come to us by email — they are not stored on the website.
MicrosoftYour form comes to us by email, which we run through Microsoft Outlook.
Nobody elseWe don’t use a mailing list. We don’t send marketing. We don’t sell or share your details.

4. Pedigree and microchip — things you do yourself

Pedigree documents are issued in our name. If you want the pedigree transferred into yours, you contact the Master Dog Breeders & Associates (MDBA) directly — we don’t send them your details.

The microchip works the same way: it’s registered to us, and you transfer it into your own name when you take the dog home.

Both are between you and those organisations. Anything they hold about you is covered by their own privacy notices, not this one.

5. How long we keep it

If you’re on the waiting listWe keep your details for as long as you’re waiting — there’s no time limit, and a wait can easily run over a year. We’ll email every few months to ask if you’re still looking. If we don’t hear back after two of those, we’ll close your enquiry and delete everything 12 months later.
If we can’t offer you a puppy12 months from our decision, then we delete everything.
If you get a puppy from usYour details for up to 7 years after handover.
If you become a guardianYour details for up to 7 years after the programme ends.
Contracts and payments7 years. We have to — it’s a legal and tax requirement.
Welfare visits and health recordsAt least 7 years. These are about the dog, and we’re required to keep them.
What you told us about the dog’s jobDeleted if you withdraw your agreement (section 2).
BackupsOur email and website are backed up automatically every day, and those backups are kept for 30 days before being overwritten. So when we delete something, a copy may sit in a backup for up to another 30 days. We don’t open backups to dig out deleted information — they simply expire.

6. What we’re allowed to do this under

The law says we have to tell you our “lawful basis”. In plain terms:

  • Most of it — our legitimate interests: we can’t place a dog responsibly without knowing who we’re placing it with.
  • Once you have a dog from us — our contract with you.
  • Welfare records, contracts, payments — legal obligations we have as a breeder, and tax rules.
  • Anything about health (section 2) — your explicit consent, and only that.

7. Your rights

You can:

  • Ask for a copy of everything we hold about you — including our assessment of your application and our notes.
  • Ask us to correct anything wrong.
  • Ask us to delete it. We’ll do that where we can — but we can’t delete welfare records, contracts or payment records until the 7 years are up, because we’re required to keep those. Deleted information may also sit in a backup for up to 30 days before it expires (section 5).
  • Withdraw your agreement for anything in section 2, any time.
  • Object to us using your information, or ask us to pause while we sort something out.
  • Ask for your data in a portable format.

If you’re not happy with how we’ve handled it, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk, or call 0303 123 1113.

8. How we decide

A person decides — always. One of our directors reads every application and makes the call. Nothing about your application is decided by a computer.

9. Changes

If we change this notice we’ll put a new version and date at the top. The version you agreed to when you applied is the one that applied to you.
