How we use your information when you apply for a puppy or to become a guardian

We’re a small family breeder. Our directors are the only people who read your enquiry — nobody else in the company, and nobody outside it.
We ask for your details so we can talk to you about a puppy and work out whether we can match you with the right dog. We keep that information while we’re in touch, and for a while afterwards — partly because we have to.
We don’t sell your data, we don’t send marketing, and we don’t pass your details to anyone else.
The rest of this notice explains all of that properly.

You should know that we also keep records you don’t see:
Some people tell us the dog needs to be able to do something particular — support a family member, work as a therapy dog, or be a coat that doesn’t trigger a reaction.
This is the only part of the form we treat differently, because it can imply something about someone’s health. So:

Pedigree documents are issued in our name. If you want the pedigree transferred into yours, you contact the Master Dog Breeders & Associates (MDBA) directly — we don’t send them your details.
The microchip works the same way: it’s registered to us, and you transfer it into your own name when you take the dog home.
Both are between you and those organisations. Anything they hold about you is covered by their own privacy notices, not this one.
| If you’re on the waiting list | We keep your details for as long as you’re waiting — there’s no time limit, and a wait can easily run over a year. We’ll email every few months to ask if you’re still looking. If we don’t hear back after two of those, we’ll close your enquiry and delete everything 12 months later. |

| Backups | Our email and website are backed up automatically every day, and those backups are kept for 30 days before being overwritten. So when we delete something, a copy may sit in a backup for up to another 30 days. We don’t open backups to dig out deleted information — they simply expire. |

If you’re not happy with how we’ve handled it, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk, or call 0303 123 1113.
A person decides — always. One of our directors reads every application and makes the call. Nothing about your application is decided by a computer.
If we change this notice we’ll put a new version and date at the top. The version you agreed to when you applied is the one that applied to you.
